• Your preferences (concern category, budget band, availability, modality, language/faith preferences, location town/postcode if in-person)
• Free-text notes you choose to share (please don't include medical histories or sensitive details)Therapists:• Name, contact email, bio, photo (optional), practice town/postcode
• Professional body & registration ID, insurance confirmation, supervision confirmation, fees, availability, booking link, modalities/niches, languages
• We do not intentionally collect date of birth, ID numbers (beyond professional registration), or medical records. Our service is for adults (18+); if we learn a minor
has submitted data, we delete it.Why We Collect It• Provide introductions between clients and therapists and run the service
• Keep the service safe and reliable, prevent abuse, and improve our matching
• Legal/administrative reasons (tax/records, handling complaints)Special category data (health): we aim to avoid it. If you include health details in free text, we will process only what's necessary to route your enquiry, relying on your explicit consent (UK GDPR Art. 9(2)(a)), and we may redact/delete the rest.How We Use and Share Data• We review your enquiry and introduce you to one suitable therapist at a time via email. That therapist sees only what's needed to respond (e.g., your first name,
concern category, preferences, and email).
• Therapists manage their own bookings and payments. They act as independent controllers for data you share with them directly.
• We use trusted providers ('processors') for forms, email, and databases (e.g., Google Workspace, Tally/Typeform, Airtable, Calendly/Zapier). We have
data-processing terms in place.International transfers: some processors may store data outside the UK. Where they do,
we rely on adequacy decisions or the UK International Data Transfer Agreement/Standard Contractual Clauses.Data Retention• Client enquiries: 12 months from last activity (to support re-matching and service quality), then delete or anonymise
• Introductions/match records: up to 24 months (audit/troubleshooting), then delete or anonymise
• Therapist profiles & vetting evidence: while listed + up to 6 years (records/complaints)
• You can ask us to delete earlier where we're relying on consent or legitimate interests and no overriding need existsYour RightsYou can access, correct, delete, or object to certain uses of your data. You can also ask us to limit processing or transfer your data.
