- Group Participation: If you join a "Pod," your name and image may be visible to other group members during video calls.Coaches (Applicants and Members of the Network):- Professional Details: Name, contact email, bio, photo.
- Credentials: Academic qualifications (e.g., MSc Cyberpsychology), coaching certifications (e.g., ICF), and insurance confirmation.
- Practice Details: Fees, availability, and specialisms.What we DO NOT collect:
We do not intentionally collect medical records, NHS numbers, or formal psychiatric diagnoses. Our service is for adults (18+); if we learn a minor has submitted data without parental consent, we delete it.
Age Assurance: Our service is for adults (18+) and teens (13-17) with verified parental consent. We use age-estimation or self-declaration tools at the point of enquiry to prevent children under 13 from accessing our matching service, in accordance with the UK Children’s Code.___________________________________________________________________________________________________

- Legal/Administrative: To process payments, prevent abuse, and maintain tax records.Special Category Data (Health & Wellbeing):
While we are not a clinical service, you may voluntarily share sensitive information regarding your wellbeing (e.g., stress levels, burnout). We process this strictly based on your Explicit Consent (UK GDPR Art. 9(2)(a)) to route your enquiry. We minimize this data wherever possible and do not retain it longer than necessary. Where necessary for safeguarding or the prevention of harm, we may also process wellbeing data under the 'Substantial Public Interest' condition (Data Protection Act 2018, Schedule 1).___________________________________________________________________________________________________
How We Use and Share Data- Coach Introductions: We review your enquiry and introduce you to a suitable Coach via email. The Coach acts as an independent data controller for any data you share with them directly during sessions.
-The Coaching Boundary: Once we introduce you to a Coach, they become the sole Data Controller for your coaching sessions, notes, and direct communications. Psyberanima does not have access to your private session notes and is not responsible for the Coach's independent data practices.
- Group Pods: If you join a Group Pod, you acknowledge that your presence (video/audio) is shared with other participants in that specific group. We require all members to agree to confidentiality rules, but we cannot guarantee the privacy of data you disclose in a live group setting.
- Service Providers: We use trusted third-party processors to run our business (e.g., Airtable for databases, Zoom for video, Stripe for payments). We have Data Processing Agreements (DPAs) in place with all providers.International Transfers:
Some of our software providers (e.g., Airtable, Zoom) store data outside the UK. We rely on the UK International Data Transfer Agreement (IDTA) or Standard Contractual Clauses (SCCs) to ensure your data remains protected.___________________________________________________________________________________________________
Data Retention- Client Enquiries: Kept for 12 months from last activity to support re-matching, then deleted or anonymised.
- Coaching Records: Psyberanima retains platform data (matches/payments) for 6 years for tax/legal reasons. Note: Your individual Coach will retain their own session notes according to their own privacy policy and insurance requirements.
- Coach Profiles: Retained while you are an active member of the network, plus 6 years after leaving for record-keeping.
-Right to Erasure: You may request the deletion of your enquiry data at any time.
